Google Business Profile verification in India: postcard, video, code and what goes wrong

In India today, Google Business Profile verification (most people still search for it as Google My Business verification, the old name) is usually done by video. You record a short, unedited walk through of your premises inside Google's app, showing the signboard, the inside of the business and proof that you run it, and Google reviews the recording. Phone or email verification is offered for some categories. The postcard, which used to be the default, is now rare. A video review usually takes a few days, sometimes a week or more, and there is no reliable way to hurry it.

Verification is the step that actually blocks Indian small businesses from the map. Until it is done the profile does not show on Google Maps, cannot collect reviews and cannot be edited in any useful way. So it is worth doing carefully the first time rather than quickly and twice.

This piece goes through each method as it works here, what to film, where the code arrives, how long to wait, and what to do when the status has said "pending" for longer than you were told.

Which verification methods does Google offer in India today?

Google decides which methods to show you. You do not get to choose from a full menu. The options depend on the business category, the address, whether the business has a storefront or serves customers at their location, and Google's own risk checks. Two businesses on the same street can be offered different methods.

The methods you may see in India:

  • Video recording. The most common today. You film inside the Business Profile or Google Maps app and submit it for review.
  • Phone or SMS. A code is sent to the number on the profile, sometimes by an automated call. Offered for some categories and for businesses Google already has some confidence in.
  • Email. A code sent to an address on the business's own domain. Rare for new profiles, more common for a business whose website Google already connects to it.
  • Live video call. Occasionally offered as an alternative to a recording, where you show the same things to a Google representative in real time.
  • Postcard. A letter with a code posted to the business address. Once the default, now rarely offered in India.

If you are only offered video, that is normal. If the profile was created by someone else and you are asking for ownership, the process is different: Google emails the current owner and gives them a window to respond before you can proceed.

What happened to the postcard verification letter?

The postcard was the standard method for years, and it is still what many older guides describe. Google quoted around two weeks for delivery. In practice, for Indian addresses with landmarks instead of street numbers, or a shop inside a market complex, the letter often never arrived, and the code on it expired after 30 days anyway.

Google has largely replaced it with video. If you are still offered a postcard, it usually means the address and category look low risk to Google. Use it if it is the only option, and while you wait, do not edit the name, address or category on the profile, because any change cancels the postcard and starts the clock again.

If the stated window passes and nothing arrives, request a new code once from the profile. On the second attempt Google frequently offers video instead. Do not create a second profile for the same business to try again; duplicate profiles are one of the most common reasons a business ends up suspended later.

What should I film for video verification?

Google wants three things in one continuous recording: where the business is, what the business is, and that you are the person who runs it. Plan the route before you press record.

Start outside. Film the street, a nearby landmark or the neighbouring shops, then the signboard with the business name readable. The name on the board should match the name on the profile. If it does not, fix the profile before you film, not after.

Walk inside. Show the space customers use, the stock or equipment, the tools of the trade. A tiles showroom shows the display floor and the racks. An accountant's office shows the desks and the files. A workshop shows the machines. Keep moving; a still shot of a wall tells Google nothing.

Then show proof of management. Google's own examples include unlocking the door, opening the cash counter or billing system, walking into a staff only area, or showing business documents with the name and address visible, such as the GST certificate or the shop and establishment licence. Do not film the document from a screen; hold the paper.

Practical points that avoid rejection: film in daylight with the phone held steady, keep it short (a minute or two is usually enough), do not edit or stitch clips, record inside the app rather than uploading from your gallery, and avoid filming customers' faces or sensitive documents such as ID cards. For a business without a storefront that serves customers at their premises, film the branded vehicle, the tools and the documents instead of a signboard.

Where does the verification code arrive, and what if the code is not received?

For phone verification, the code comes by SMS or automated call to the number on the profile. Check the number is correct before you request the code, and make sure the phone is with you; the code is valid for a short time. For email verification, the code goes to the address Google shows on screen, and it is usually one on your own domain rather than a Gmail address.

If the code is not received, wait the full time Google states before requesting another, because each request may replace the previous code. Check the SMS inbox and, for email, the spam folder. If the number on the profile is wrong, correct it and expect the method offered to change. There is a limit on how many times you can request a code, and after that the option may disappear, so resist tapping the button repeatedly.

The code from a postcard is typed into the profile under "Enter code". It is not a code you can ask for by phone.

How long does Google Business Profile verification take?

Phone and email are usually immediate once the code is entered. Video is reviewed by Google, and the honest answer is that it varies: a few days is typical, a week or more is not unusual, and some profiles sit in the queue for longer without any explanation. The postcard, if offered, adds a fortnight before you even have a code.

Nothing you do during the wait makes the review faster. What does slow it down is submitting a second video while the first is in the queue, editing the profile during the review, or creating a duplicate profile out of frustration. Wait, and use the time on the work described further down.

What does "verification pending" mean and when should I worry?

"Pending" means the video or request is in Google's queue and nobody has looked at it yet. It does not mean anything is wrong. Google's own message will usually say how long to expect, and that message is the one to trust over anything a forum or a reseller tells you.

Start paying attention when the stated period has clearly passed. Check the email address linked to the profile, including spam, because Google sometimes asks for additional documents there and the profile status does not always change. If there is nothing, open the profile, look for an "Appeal" or "Contact support" option, and submit one appeal with the details. Then wait again. Multiple appeals do not move you up the queue.

Why do verification videos get rejected?

Rejections in India tend to come down to a short list:

  • The signboard is missing, unreadable or shows a different name from the profile.
  • No proof of management: the video shows a shop but nothing that proves you run it.
  • The business is not eligible for a profile at all, because it is online only, a virtual office, a shared coworking address, or a residential address for a category that requires a storefront.
  • The video was edited, stitched, or uploaded from the gallery rather than recorded in the app.
  • The address on the profile does not match what the video shows.
  • The profile name has a city or keyword added that is not on the board.

When a video is rejected Google usually says which of these it was, in general terms. Fix the cause, then record again. If the cause is eligibility, fix the profile type first: a business that visits customers should hide its address and list the areas it serves rather than claiming a storefront it does not have.

What can I do while verification is stuck?

Use the wait for the work that has to happen anyway. Write down one version of your name, address and phone and make the website footer, the Facebook page, the WhatsApp Business profile and any directory listings match it exactly. Take the photos you will upload the day the profile goes live: the front, the inside, the team, the products, each file named for what it shows. Draft the description and the list of services. Prepare the review request message you will send to customers. One warning. There is a trade in "GMB verification services" that promise a verified profile in a day for a fee. Most of them work by using fake addresses, bulk accounts or someone else's verification, and profiles built that way are suspended sooner or later, often taking the reviews with them. Questions

Can I verify a Google Business Profile without a physical shop?

Yes, if you visit customers at their location: a plumber, a tutor, a cleaning service. Set the profile as a service area business, hide the address and list the areas you cover. Online only businesses with no in person contact are not eligible.

Can I pay someone to verify my profile?

You can pay someone to help you do it properly, from your premises and on your own Google account. Paying a reseller who verifies from elsewhere, or with their own documents, tends to end in suspension.

Does verifying my profile help my website rank?

Not directly. Verification makes the profile eligible to appear on Maps and in the local pack. The website's own ranking depends on its pages, but the two support each other, and the profile links to the site.

I moved to new premises. Do I need to verify again?

Usually yes. Changing the address on a verified profile triggers a new verification for the new location. Update the address, complete the verification, then update every directory listing to match.
